A reminder can be perfectly delivered and still be wrong. It may show the business's timezone instead of the customer's, refer to a cancelled booking or arrive after staff have already changed the appointment.

Store the appointment meaning clearly

Record the scheduled time with its timezone context. Decide how the booking page, confirmation and staff dashboard display it. An offset alone may not capture future daylight-saving changes in the same way as a named timezone, depending on the software.

Check the booking before sending

The reminder workflow should confirm that the appointment is still active and that the recipient and channel remain appropriate. A message queued yesterday may need to be cancelled or regenerated after a reschedule. Do not treat the original form submission as a permanent instruction to send every later message.

  • Show an unambiguous date and local time.
  • Respect the agreed communication preferences.
  • Avoid unnecessary personal details in messages.
  • Define what happens if delivery fails.
  • Provide the correct cancellation or contact route.

Use a small test matrix

Create bookings near midnight, across a timezone difference and around a relevant daylight-saving transition. Change one booking after its reminder is scheduled. Verify the final message content and the staff record rather than relying solely on a “workflow ran” notification.

Make limits visible

Messaging availability, usage fees and scheduling features depend on the provider. Agree on these before promising a particular channel. If a reminder cannot be sent, staff need an exception list and a sensible fallback. The objective is an accurate reminder process, not an unsupported promise that reminders eliminate missed appointments.
