  2. Separate records from instructions
  3. Migrate a representative sample
  4. Accept the new process, not just the import

A spreadsheet can be an excellent starting tool. Trouble begins when colours stand in for status, several copies circulate by email and nobody can tell which customer has already received a reply.

Describe the work before choosing software

List the decisions hidden in the sheet: who assigns rows, what each colour means, which fields may change and what marks completion. These are workflow requirements, not cosmetic formatting. Preserve a read-only original before experimenting with imports.

Separate records from instructions

A contact's address is data. “Call again on Friday” is a task. Combining both in one free-text cell makes reporting and handover difficult. Decide which parts belong in contact records, activities and staff assignments in the proposed system.

  • Identify a stable identifier for each record.
  • Review duplicate and incomplete entries.
  • Map statuses to explicit allowed values.
  • Restrict who can change sensitive fields.
  • Define an export and rollback arrangement.

Migrate a representative sample

For example, use a small set containing an active enquiry, a completed request and a record with missing details. Check whether staff can reproduce the original history and find their next action. Do not delete the old working sheet because an import counter reached its target.

Accept the new process, not just the import

Reconcile counts, sample field values and open tasks. Decide when the old sheet becomes read-only and who resolves discrepancies. The right improvement may be a configured CRM or a small custom tool; it does not automatically require a large software rebuild.
