Connect Your Website Form to a CRM Without Losing Useful Details
Plan field mapping, validation and enquiry ownership before connecting a website form to your CRM. Keep confirmations and staff actions clear.

In this guide
A form integration can appear successful while creating records that staff cannot use. The email arrives, but the requested service is missing, the phone number is in a notes field and every enquiry has the same owner.
Map the meaning, not just the field name
Create a short mapping sheet showing each website field, its CRM destination, allowed values and whether it is required. A dropdown labelled “Service” should map to a controlled property, not an inconsistent collection of free-text spellings. Preserve the original description where staff need context.
Distinguish receipt from qualification
A technically valid submission is not automatically a qualified lead. Store a clear initial status such as “New website enquiry”, then let the agreed business rules or staff review determine the next stage. Do not manufacture a sales opportunity for every newsletter subscription.
- Validate email and URL fields on the server.
- Retain the submission reference for troubleshooting.
- Set an owner or an explicit unassigned queue.
- Decide what to do when a required CRM field is absent.
- Exclude unnecessary sensitive information from transfers.
Test a complete round trip
Use a test enquiry containing a multi-line description, an international phone number and a service choice. Compare the saved website record, CRM record and staff notification. Then submit the same reference again to see whether the integration duplicates the lead.
Document who maintains the connection
The handover should identify the form, endpoint, field mapping, credential owner and failure notification. Agree whether a change to the website form requires a matching CRM update. The useful deliverable is a traceable enquiry journey, not simply a screenshot showing that two tools are connected.
